Clear email clutter without losing important mail

Create a reviewed triage list and archive a small batch you have checked.

1. Read a sample you can inspect

No account connection or automation is needed. Use an AI chat you already have access to.

Fictional inbox headers only:
E 01: Bank receipt, yesterday, important, keep for records.
E 02: Course newsletter, eight months old, unread, promotional.
E 03: School schedule update, today, starred, action needed.
E 04: Shop sale, seven months old, promotional.
E 05: Team asks for a reply by Friday, today.
E 06: Unknown sender says verify your password, today.

Start with headers or fictional samples, not private email bodies. Search operators can match conversations containing mixed messages. Do not bulk-delete from a model suggestion.

2. Create your first draft

Start a fresh AI conversation. This prompt includes the sample, so it is ready to paste.

Classify inbox headers into a review queue

Classify these fictional headers as Keep, Reply/action, Review for archive, or Inspect suspiciously. Return ID, reason and next manual step. Do not delete, open links, unsubscribe or access my inbox. Protect records and time-sensitive messages.

SAMPLE INPUT
Fictional inbox headers only:
E 01: Bank receipt, yesterday, important, keep for records.
E 02: Course newsletter, eight months old, unread, promotional.
E 03: School schedule update, today, starred, action needed.
E 04: Shop sale, seven months old, promotional.
E 05: Team asks for a reply by Friday, today.
E 06: Unknown sender says verify your password, today.

3. Compare an illustrative result

E 01: keep; financial record.
E 02/E 04: review for archive; old promotions.
E 03/E 05: action queue; schedule/reply needed.
E 06: inspect through the legitimate service; do not follow the message link.
Nothing has been archived, deleted or unsubscribed automatically.

An example of a reviewed result. Your model may phrase it differently. Compare the facts and boundaries.

  • Every sample message has an ID, reason and proposed action.
  • Important, starred and record-keeping mail remains for review.
  • A search result is a candidate set; inspect the whole conversation before acting.

4. Audit the answer

Replace the draft placeholder with the answer you received. Then check the AI audit against the original input yourself.

Check an inbox-cleanup proposal

Audit the proposal against these headers. Flag any financial record, school notice or reply request wrongly treated as clutter. Explain what a person should inspect before archiving. Do not perform account actions.

ORIGINAL INPUT
Fictional inbox headers only:
E 01: Bank receipt, yesterday, important, keep for records.
E 02: Course newsletter, eight months old, unread, promotional.
E 03: School schedule update, today, starred, action needed.
E 04: Shop sale, seven months old, promotional.
E 05: Team asks for a reply by Friday, today.
E 06: Unknown sender says verify your password, today.

DRAFT TO CHECK
[Paste the draft you received.]

5. Repeat it with one real example

  1. Start with the sample

Copy the fictional input below. Read what is known and what is missing.

Check: You can identify one detail that the model must not invent.

  2. Open your AI chat

Use an AI chat you already have access to. Start a fresh conversation and paste the first prompt.

Check: The prompt contains the input, the output format and the boundaries.

  3. Compare the first draft

Read the illustrative result, then compare it with the answer you received. Outputs can differ.

Check: The result is grounded in the sample rather than merely sounding confident.

  4. Audit with the second prompt

Paste the answer into the review prompt. Inspect each flagged issue yourself.

Check: A second AI answer is a checklist aid, not independent proof.

  5. Adapt one real example

In Gmail, try in:inbox category:promotions older_than:6m to preview candidates. Inspect each conversation and archive only five messages you choose. Find one again in All Mail/search. Archiving clears the Inbox, not storage. Other mail apps have different controls.

Check: Your actual constraints replace the fictional ones; unresolved facts remain questions.

  6. Save one useful artifact

Save your input, reviewed output and one correction. Explain the check you used to a neighbour.

Check: You can repeat the task without this lesson and know when to verify a source.

More ideas for this skill

  • Newsletter backlog: label by topic, then archive checked old issues.
  • Work inbox: list replies due and missing deadlines.
  • Personal inbox: separate receipts, appointments and low-value promotions.

6. Keep your first win

Save the input, reviewed output and one change you made. Try explaining the check without reading this page.
